How to Import Your Mailing List(s)

Learn how to import your mailing list(s) and data privacy & protection.

To be able to make use of the email marketing feature and schedule emails you have to import your mailing list(s). In this article, we will explain how we save and protect your data and how you can import your mailing list.


Data privacy & protection

At Channext, we take data privacy and security seriously, in compliance with the General Data Protection Regulation (GDPR). Our through-channel email marketing feature allows you, as a partner, to upload your contact lists and send email marketing campaigns to your end users while maintaining full control over your data. Here’s what you need to know:

  • Data Ownership: The contact data you upload is owned by you, the partner. It will never be shared with your vendors. This is your data and will always stay your data only.

  • Data Storage: All contact data is securely stored in AWS data centers located in Frankfurt, Germany, ensuring that it remains within the European Union and under the jurisdiction of GDPR.

  • End-User Rights: You are responsible for obtaining the necessary consent from your contacts before uploading their data to our platform. End-users have the right to request access, rectification, or deletion of their personal data. Our platform is equipped to assist you in fulfilling these requests.

How to import your mailing list(s)

Step 1: Import List

You can start importing your mailing list by clicking on the Import list button. In the first step, you have to choose the file you want to import.

Please keep in mind that list contacts will be automatically imported as Contact objects.

Your file must:

  • Be a .csv or .xlsx file;

  • Include a header row where each column matches a field in Channext. The fields are 'First name', 'Last name', and 'Email';

  • Use a semicolon (;) as a delimiter;

  • Have only one tab;

  • Contain fewer than 1,000 rows (you can upload multiple contacts into a list later on).

Step 2: Field mapping

After you complete this step, you have to field map. This means you need to select which header row in your file corresponds correctly to a Channext field.

By default, Channext provides the following fields for a contact: First name*, Last name*, Email*, Phone, and Job title. If your file contains additional columns that don’t have matching fields, you can create new ones by going to Settings and selecting Field Management.

You need to map the required Channext fields: First name*, Last name*, and Email*.

Step 3: List details

In this last step, you can decide on the name of your list. Most importantly you have to agree that you have permission to email all contacts in this import. You have a prior relationship with these contacts and can confirm that this list wasn't purchased, rented, appended, or provided by a third party. Otherwise, you cannot import these contacts into our platform.

List overview

After importing your list, you can view it in the Lists Overview. In this table, you’ll see:

  • Name: The name of the list.

  • List size: The number of contacts on the list.

  • Last updated: The date and time the list was last updated.

  • Last updated by: The user who last made changes to the list.

  • Used in: The number of times the list has been used.

You can additionally archive a list by clicking on the Archive button if you no longer want to make use of this list. If you archive a list the list itself will get archived but the contacts on the list will remain as contact objects in the platform.

List Details

After you import a list, you should check the list details to make sure all of your contacts are imported successfully. You can do this by clicking on the Details button.

You can rename the list from this page and see the time and the person who imported this list.

At the top of this page, you’ll see the following information:

  • Import rows: The total number of rows imported from your list.

  • Total contacts: The total number of contacts imported.

  • New contacts: Contacts that were not previously on the platform.

  • Existing contacts: Contacts that were already on the platform.

  • Import errors: Any errors that occurred during the import process.

You can view the contacts that caused an import error in the table. The table also shows the reason for the error and the specific data you provided that led to the issue.

Contacts with errors won’t be created within the platform, meaning they won’t receive any emails until the error is resolved. You can fix this by clicking the Solve error button. Once the error is resolved, the contact will be removed from the error list and will be eligible to receive emails.

View List

You can view the contacts in a list by clicking the View button. On this page, you’ll see all the contacts within that list.

  • To add a single contact, click the Add Contact button. If you want to add multiple contacts, click the Import Multiple Contacts button.

  • To remove a contact from a list, simply click the Remove button.

  • If a contact unsubscribes from your mailing list, an Unsubscribe tag will appear next to their name. Unsubscribed contacts will be opted out and won’t receive any further emails from you, even if they are on other lists.
